Terms & Conditions

Last updated 21 August 2026

These terms form an agreement between you and PioNed Systems Ltd (trading as PioNed), the provider of the PioNed training operations platform at pioned.io.

1. Who you are contracting with

The service is operated by PioNed Systems Ltd, trading as PioNed. Where these terms say "we" or "us", they mean PioNed Systems Ltd. Contact us at support@pioned.io.

2. Acceptance

By creating an account, accessing the platform or continuing to use it, you agree to these terms. If you are accepting on behalf of an organisation, you confirm you have authority to bind that organisation. If you are contracting as an individual, you confirm you are of legal age in your country.

3. The service

PioNed is software for training providers: applicant recruitment, learner enrolment and onboarding, qualification and programme setup, trainer, assessor, moderator and mentor allocation, attendance, workplace and evidence capture, assessment workflow, stipend and funded-project administration, and reporting. Access is granted under the plan you select, as a limited, non-exclusive, non-transferable right to use the platform for your own training operations.

4. Your account

  • You must provide accurate account and organisation information and keep it up to date.
  • You are responsible for keeping credentials confidential and for all activity under your account.
  • You are responsible for the learner, assessment and finance data you enter and for having a lawful basis to process it.

5. Acceptable use

You must not misuse the service. In particular, you must not:

  • use it unlawfully, or to process data you have no right to process;
  • commit fraud, send spam, or submit falsified attendance, evidence or funding claims;
  • infringe intellectual property or upload content you do not have rights to;
  • interfere with security — no malware, probing, penetration testing without consent, scraping or circumventing plan limits;
  • reverse engineer, resell or redistribute the platform.

6. Your content

You keep ownership of the data you upload. You grant us a limited licence to host, process and back up that data solely to provide and support the service.

7. Our intellectual property

We retain all rights in the platform, its software, documentation, design and branding. Nothing in these terms transfers ownership to you.

8. Service levels and warranties

We work to keep the platform available and accurate, but we do not guarantee uninterrupted or error-free operation. To the fullest extent permitted by law we disclaim implied warranties, including merchantability and fitness for a particular purpose. Compliance outputs (SETA exports, funder packs, certificates and reports) are produced from the data you enter and remain your responsibility to check before submission.

9. Payment, subscriptions and taxes

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

Subscriptions renew automatically for the cycle you selected until cancelled. Billing, tax, invoicing, cancellation and refund mechanics are governed by Paddle's Buyer Terms. Usage above your plan's included learners or seats is billed monthly in arrears as an overage statement, shown in the app before it is charged.

10. Suspension and termination

We may suspend or terminate access for material breach of these terms, non-payment, security or fraud risk, or repeated or serious policy violations. You may cancel at any time in the app or via Paddle; access continues to the end of the period you have paid for. After termination you may export your data for 30 days, after which it may be deleted.

11. Liability

Our aggregate liability is limited to the fees you paid in the 12 months before the claim. We exclude liability for indirect, consequential or special damages, including loss of profits, data or goodwill. Nothing limits liability for fraud, death or personal injury caused by negligence, or anything else that cannot lawfully be limited.

12. Indemnity

You will indemnify us against claims arising from your content, your unlawful use of the service, or your breach of these terms.

13. General

These terms are governed by the laws of England and Wales, and its courts have exclusive jurisdiction. You may not assign this agreement without our consent; we may assign it as part of a merger or acquisition. Neither party is liable for delays caused by events beyond reasonable control. We may update these terms and will post the revised version here with a new "last updated" date.
